1. The agreement
These terms are an agreement between Lodgeio Tech (ABN 56 642 772 736), trading as Lodgeio ("we", "us", "our"), and the business that opens a Lodgeio account ("you", "your company"). By creating an account, or by using Lodgeio after someone in your company gives you access, you accept these terms.
Lodgeio is a tool for businesses. Individual employees use it under their employer's account, and the employer is our customer.
2. The service
Lodgeio is expense management software. Employees photograph receipts and lodge claims, software fills in the claim fields, managers and accounts staff approve and verify them, and the business exports the results to its accounting and payment systems.
Lodgeio helps you keep records; it does not provide tax, accounting or legal advice. Your company remains responsible for the accuracy of its books, its tax positions and its compliance with the record-keeping rules that apply to it.
3. The waitlist
Joining the waitlist creates no account and costs nothing. We will email you when Lodgeio opens, and you can unsubscribe at any time. Launch offers described on the website (such as free onboarding for early teams) are honoured as described at the time you join, while they remain available.
4. Accounts and access
- Your company administrator controls who has an account, what roles they hold and when access ends. Keeping that list current is your company's responsibility.
- Credentials are personal. Do not share accounts or passwords, and tell us promptly if you suspect an account has been compromised.
- Information you provide about your company and its users must be accurate.
5. Your data
Your data stays yours. Receipts, statements, claims and everything derived from them belong to your company. You grant us the licence needed to host, process, transmit and display that data, purely to provide the service described in these terms.
- You can export your data (claims, receipts, reports) at any time while your account is active.
- We do not sell your data and we do not use it for advertising.
- You are responsible for having the right to upload what you upload: receipts from your company's own spending are what the service is for.
6. AI features
Lodgeio uses AI to read receipts and statements and to summarise claim patterns. The output is assistive: every claim is confirmed by a person before it is lodged, and approvers check claims against the original images. AI output can be wrong, and the person confirming the claim is responsible for its accuracy. Our AI provider processes your documents to provide the feature and does not train its models on them.
7. Acceptable use
You agree not to:
- use Lodgeio for anything unlawful, including fabricating expense records;
- attempt to access another company's data or another user's account;
- probe, disrupt or overload the service, or bypass its security controls;
- reverse engineer the software, or resell access to it without our written agreement;
- upload malicious code or content you have no right to upload.
If you find a security problem, please tell us at hello@lodgeio.com.au rather than exploiting it. We are grateful for responsible reports.
8. Fees and payment
- Lodgeio is priced per active user, per month, in Australian dollars, plus GST. Current pricing is on the Pricing page; the price in force when doors open will be confirmed before you are ever charged.
- Deactivated users are not charged. You control your user list, so you control your bill.
- Invoices are payable by the date shown on them. If an account falls behind, we will contact you before anything else happens; we may suspend access if an invoice remains unpaid well past its due date, and we will restore access promptly when it is settled.
- If we change pricing, existing customers get at least 30 days' written notice before the new price applies to them.
9. Availability and changes
We work to keep Lodgeio available around the clock and we host it in Australia, but no online service can promise zero downtime, and we do not offer a contractual uptime guarantee at this stage. We may improve or change features over time; if we ever retire something your company depends on, we will give you reasonable notice.
10. Intellectual property
We own Lodgeio: the software, design, brand and everything in it except your data. You get a right to use it while these terms are in force. If you send us feedback or suggestions, we can use them without obligation, which is the entire reason we can act on them quickly.
11. Privacy
Our Privacy Policy explains what personal information we handle, where it is stored (Australia) and the limited overseas processing involved in email delivery and AI document reading. It forms part of these terms.
12. Liability
Australian Consumer Law gives you guarantees that cannot be excluded, and nothing in these terms attempts to. Where the law allows a limitation:
- our liability for a claim connected with the service is limited, at our choice, to resupplying the service or paying the cost of having it resupplied, and is otherwise capped at the fees your company paid us in the 12 months before the claim arose;
- we are not liable for indirect or consequential loss, or for loss caused by things outside our reasonable control;
- we are not liable for decisions your company makes based on the records in the service, including tax and reimbursement decisions, which remain your company's own.
13. Suspension and termination
- You can stop using Lodgeio and close your account at any time; there is no lock-in contract.
- We can suspend or terminate an account for material breach of these terms (including non-payment as described in clause 8), giving notice and a chance to fix the problem where that is reasonable.
- After termination you have 30 days to export your data, and we will help if you ask. After that window we delete or de-identify it, except for records we are legally required to retain, which are kept as described in the Privacy Policy and then deleted.
14. General
- These terms are governed by the laws of New South Wales, Australia, and the courts of that state have jurisdiction.
- If part of these terms turns out to be unenforceable, the rest still stands.
- We may update these terms; when we do, the date at the top changes and account holders get email notice of significant changes at least 14 days before they take effect. Continuing to use the service after that means you accept the updated terms.
- These terms, the Privacy Policy and any order form we agree with your company are the whole agreement.
